How can I check on available dates for a field or gym rental?
To check on dates available for a field or gym rental, please select the appropriate box above titled “Click Here to Book”. You can then select the date you are looking for to check on the status of its availability.
How can I book a rental?
Rentals can be booked by emailing email@example.com or by making an in-person appointment at the ARC Center with a member of our Recreation team.
Is payment due at the time of booking?
Rental fees are due in full at the time of booking. If requesting dates via e-mail, you will have 24 hours to pay off your balance after request confirmation is received online.
I have a personal account with the Park District. Can I set up a second account for my organization to book their rentals?
Yes. Please request this by emailing firstname.lastname@example.org if you do not already have your organization account set up. Once you have separate accounts, you will have separate login information for your personal account and your organization’s account.
When is my Certificate of Insurance due to the Park District?
Certificates of Insurance (COI) are due at least one week prior to your first scheduled rental of each calendar year. COI must list the Park District as an additional insured. COIs can be emailed to email@example.com
What is provided with my rental? Should I bring my own equipment?
The below will be provided with all rentals. Please plan on bringing any additional items you may need:

Can I store my equipment at your facility?
Equipment cannot be stored at our facilities. We ask that renters come to each rental prepared with the items they will need. The West Chicago Park District is not responsible for lost, stolen, or misplaced items.
Why is there a security deposit required for Zone 250?
Security deposits are required for rentals at Zone 250 to ensure that responsibilities required of renters when using the facility are carried out (accessing/closing the building and usage while not monitored by staff).
What are some examples of why my security deposit might be assessed?
Security deposits will be assessed for any inappropriate usage of the facility, damage to the facility or equipment, or improper security measures for opening/closing of the facility.
When will my security deposit be refunded?
Security deposit refunds will be processed 5 days after your last scheduled rental.
How will my security deposit be refunded?
Security deposits will be refunded in the form of original payment (check, credit card, or household credit). There are no cash refunds. Cash payments will be refunded in the form of a check. Check refunds may take up to 14 business days once processed, and credit cards may take up to 7 business days once processed.
How will I know what my organization’s access code is?
A member of our Recreation team will provide you with your organization’s information once your reservation and payment are complete.
How will I know how to properly access and close the building?
A detailed email will be sent to renters with information on steps to properly access and close the building.
How can I reach a staff member if needed during my rental?
Renters are encouraged to contact the ARC Center at 630.231.9474 if needed during your rental. If your rental is taking place outside of ARC Center hours, you will be provided with contact information for a staff member in case of emergency.
What is included in the Zone 250 Meeting room fee?
Zone 250’s meeting room fee includes access to the room, TV (renter must provide his own connection cables) 4 tables and 24 chairs.
How will I know if my field rental is canceled due to inclement weather?
The West Chicago Park District will always update Rainout Line in the event of inclement weather. Visit our Rainout Line here for the most up to date information.
Would I be refunded for my rental if the West Chicago Park District cancels my rental due to inclement weather?
Yes. Any rental canceled due to inclement weather will be refunded in full.
There is forecasted inclement weather for the day of my field rental, how much notice is needed if I would like to cancel?
At least 5 days notice is required if a renter would like to cancel their rental.
What is the difference on field preparations when I book a game vs a practice?
For practices, the field is groomed, and bases are installed (baseball/softball). Game prep additionally includes the lining of the field.
Will there be concessions available for our field rentals?
Concessions will not be available for field rentals. If booking a full-day event, please contact us by emailing firstname.lastname@example.org for possible options.
Where are the bathrooms located in your parks?
Port o Potties will be provided in all parks. Port o Potties are cleaned periodically throughout the week by a contracted company.
I would like to hold a tournament at your facility, how can I book this?
Tournaments and multi-day events can simply be booked by reserving the entire day/days at the facility/facilities you are looking at by using the processes mentioned above.
If I have the entire facility booked for the day, can I hold my games outside of your designated time blocks?
Yes. If you have all timeslots booked for the day, you are welcome to hold your games at different times other than the designated blocks. All rentals must stay within the initial start time and final end time. ‘Full day’ rentals times are listed below. Gaps in times due to blocking increments will not apply for full-day rentals.
Field rentals: from 8am-8pm (30 minute increments)
ARC rentals: from 8am-8pm (30 minute increments)
Zone rentals: from 8am-8pm (30 minute increments)
Is there anything else required from my organization if we are booking a multi day event?
Multi-day rentals are required to fill out our multi-day rider form, which will be available by emailing email@example.com. This form clarifies questions on charging admission to events, selling concessions, and points of contact throughout your rental.
How often do you drag the fields?
Our parks staff will drag the fields at the beginning of each day. Fields will not be dragged between games.
